The work acceptance note
At the end of every campaign an acceptance note is signed, with the list of units worked on, what was done and what is still outstanding. It is the document you hold if something is wrong six months later.

About this document
We keep it simple, one page, with the unit table and three columns: done, deferred, and notes. Deferred means something concrete - a unit inaccessible that day, a room in use - and gets rescheduled, it does not disappear.
What the document contains
| Campaign period | The dates worked, by location. |
| Unit table | Every unit, with done / deferred and the reason for deferral. |
| Findings requiring a decision | What we found that goes beyond the contract: parts, bad installations, units no longer worth repairing. |
| Date of the next intervention | Scheduled, not "in the autumn". |
| Signatures | Technician and the client's representative present during the work. |
Worth remembering
Ask for it to be signed by someone who was actually there on the day, not by accounting a month later. A signature is only worth something if the person can confirm what happened.
