The intervention report - what it must contain
The intervention report is the only proof the work was done and the only basis for comparison year on year. If it only says "sanitizing carried out", it is not a report, it is a confirmation.

Below is the content of a useful report. We fill one in per unit, not per location: two units in the same room can be in completely different states, and a per-location report hides exactly the information that matters.
What the document contains
| Unit identification | Location, room, brand, model, serial, asset number. Without this the report cannot be tied to any history. |
| Date, time and duration | The duration says more than it seems: a full sanitizing in under 45 minutes is improbable. |
| Condition found | A concrete description: fan white / grey / black, tray clean / with deposits / blocked, filters. Not "dirty". |
| Operations carried out | Ticked off from the contract list, so it is clear what was and was not done, and why. |
| Solutions used | The names of the cleaning and disinfection products. Required in practices, restaurants and inspected spaces. |
| Measured values | Discharge and suction temperature, the difference, electrical consumption. The same values, at every visit, under the same conditions. |
| Before and after photos | At least two: the fan before and the fan after, from the same angle. They are the evidence that cannot be improvised. |
| Findings and recommendations | What was found that is not about cleaning: worn parts, wrong installation fall, an outdoor unit with no space. With what it means and what it would cost. |
| Signatures | Technician and the client's representative. An unsigned report is not evidence. |
Worth remembering
Keep the reports. By the third year the sequence of measured values shows whether a unit is losing capacity, long before anyone notices the room no longer cools.
