The documents
Five documents, and all five exist for one reason: so that in two years, when someone asks when the meeting-room unit was last cleaned, there is an answer with a date on it.
We publish the structure of each document, not just its name. You can use them even if you work with another company: a contract with no concrete list of operations, and a report that only says "sanitizing carried out", are of no use to you whoever signs them.
- The maintenance contract - what it contains and what to check
A serious maintenance contract runs to under two pages and answers five questions: which units, how many times a year, what is done at each visit, how fast someone comes out in an emergency and what is billed separately. Everything beyond that is usually filler.
- The intervention report - what it must contain
The intervention report is the only proof the work was done and the only basis for comparison year on year. If it only says "sanitizing carried out", it is not a report, it is a confirmation.
- The annual maintenance schedule
The month the work is done matters. A sanitizing done in March lasts the whole season; one done in August catches the unit already loaded and after the hardest months have passed. The schedule below is the one we propose and keep, not you.
- The equipment record and the unit inventory
The first visit is not a job, it is an inventory: every unit gets a record with location, brand, model, serial, year of installation and initial condition. From then on, everything that happens to that unit is added to its record.
- The work acceptance note
At the end of every campaign an acceptance note is signed, with the list of units worked on, what was done and what is still outstanding. It is the document you hold if something is wrong six months later.
